Archiving (Long-Term Preservation & Archival Policy)

Akademia: Journal of Education & Innovation ensures the long-term preservation of all its published articles using a secure combination of distributed network archiving (PKP PN/LOCKSS), DOI metadata deposits, OAI-PMH interoperability, and scheduled multi-tier backups.

This policy explains the technical systems and preservation strategies used to safeguard journal content, metadata, and supplementary files over time.

1. Preservation Statement

All publications of Akademia are preserved as final versions of record with their associated metadata, including DOIs, ORCIDs, and funding data. Preservation ensures continued access and integrity even in cases of technical disruption or organizational changes.

Preserved materials include: final article PDFs, metadata, supplementary data, tables, figures, and appendices.

2. Systems & Mechanisms

  • PKP Preservation Network (PKP PN) / LOCKSS. Akademia participates in PKP’s LOCKSS program, distributing redundant copies across global partner nodes for long-term availability.
  • Crossref DOI metadata. Each published article receives a unique DOI and structured metadata deposit (including author ORCID, institutional ROR, references, funding, and license data).
  • Preservation formats. The primary archival format is PDF/A. Additional XML/JATS or supplemental data formats are archived where available.

3. Interoperability & OAI-PMH

Metadata for Akademia can be harvested through the OAI-PMH protocol for indexing and interoperability with repositories, databases, and aggregators.

  • OAI-PMH Base URL: https://journal.fajarpos.com/index/oai
  • Supported metadata schemas include oai_dc (Dublin Core) and others as configured in OJS.
  • Common harvesters include Google Scholar, GARUDA, DOAJ, BASE, and Scilit.

4. Backups & Disaster Recovery

The server hosting Akademia content maintains a robust backup and recovery plan to prevent data loss and ensure continuity of access.

Recommended practice includes daily incremental backups, weekly full backups, and geographically separate backup storage. In the event of system failure, restoration follows documented disaster recovery procedures.

5. Self-Archiving & Preprints

Akademia allows authors to deposit their preprint, accepted manuscript, or final published version (PDF/Version of Record) in institutional or public repositories. The DOI and journal license (CC BY 4.0) must accompany any deposited version.

  • Always link to the published article and DOI.
  • Include full citation and license information in metadata.

6. Retractions, Corrections & Removal

  • Corrections/Errata/Addenda: issued to correct minor errors not affecting research outcomes.
  • Retractions: applied for major ethical or methodological issues, following COPE guidelines.
  • Removal: in exceptional cases involving legal, ethical, or security reasons; a “tombstone” notice remains to preserve bibliographic record.
These actions adhere to Publication Ethics and COPE’s international standards.
